Contact PMC

Information you provide and its purpose

The contact form collects your name, email address, subject and message, plus your phone number if you provide it. It also requires confirmation that you agree to the processing of your contact details. These details are used to receive, review and respond to your enquiry and to communicate with you about it. Please avoid including sensitive information or unnecessary personal information about other people.

Google OAuth and the Gmail API

When email sending is configured, the website uses Google OAuth authorization for an organization-authorized Gmail account to send contact messages to PMC. The message contains the submitted form details and consent confirmation; your email address is used as the reply-to address. Visitors do not need to connect a Google account. The website does not request access to, or read, visitors’ Gmail accounts. OAuth credentials belong to the organization’s sending integration and are handled on the server.

Service providers and third-party processing

Google processes the contact message to provide Gmail delivery and mailbox services. The website’s hosting provider processes requests needed to operate the service and may process technical information such as IP addresses and operational logs. Provider processing can involve locations outside your country. PMC must confirm the current hosting providers, relevant processing locations, contractual arrangements and any applicable international transfer safeguards. Google’s own privacy information is linked below.

Storage and retention

The current contact handler does not save submissions as Payload CMS records. Sent and received correspondence may remain in the organization’s Gmail account and any organizational archives or backups. Temporary security and duplicate-submission checks use process memory. There is no confirmed organization-wide retention period or automatic mailbox deletion schedule stated here. PMC must confirm how long correspondence, logs and backups are kept, why they are retained, who can access them and how deletion requests are handled.

Your requests and rights

You can contact PMC to ask about the personal data it holds about your enquiry, request access or correction, or ask for deletion, restriction or an end to further contact. You can also ask to withdraw the consent you provided. Which rights apply and whether a request can be fulfilled depend on the applicable law and any required record keeping. PMC may need information to verify your identity. PMC must confirm the applicable legal basis, request handling process, responsible contact and relevant supervisory authority; this page does not promise a particular legal outcome or response deadline.

Security

The contact handler validates input, checks request origins and includes rate limiting and duplicate-submission checks. Gmail API requests use HTTPS and server-side authorization. These measures reduce some risks but cannot guarantee absolute security. PMC must confirm its staff access controls, mailbox protection, operational logging, incident procedures and backup safeguards.

Language preferences

The website uses browser storage and a language preference cookie to remember Georgian or English. These preferences are separate from the contact message. Administrators may also use authentication cookies when signing in to the CMS.

Information requiring PMC confirmation

PMC must confirm its full legal identity and data-controller details, the applicable legal basis, privacy request contact, retention and deletion rules, authorized recipients, hosting and processing locations, provider agreements, transfer safeguards and complaint route. The contact details below come from the website’s current CMS settings. This notice should be updated when those organizational details or the service change.
